Johns Memorial Episcopal Church

Vestry Minutes

September 11, 2007 

Present: Taylor Butler, Jennifer Gallagher, Katherine Kemner, Nancy Lancaster, Molly McClellan, Lee Minix, Rev. Bob and Ruth Partlow, Sarah Southall.

Absent: Larry Hlad, Steve Libby, Joe Mayton

At 6pm, Rev. Ruth Partlow opened the meeting with prayer.

The minutes of the July 10 and August 14 meetings were accepted as read.

Treasurer’s Report – Accepted as presented and filed for audit.

New Business:

Rev. Ruth Partlow suggested that a Diaper Fund be collected. The money will be given at a "Baby-shower" coffee hour to be held September 23.

Longwood University will be helping to fund the new Civil Rights Memorial. Rev. Bob Partlow urged the Vestry to consider giving funds to this Memorial.

The Episcopal Youth Fall weekend is scheduled for October 12 - October 14. Mrs. Southall motioned, seconded by Ms. Gallagher, to use $220 from the Discretionary fund to support two JMC student members to attend this event.

Ms. Cindy Barnes will conduct the Safe Church workshop concerning the prevention of child abuse and sexual harassment on Saturday, Oct. 20, at the Parish House.

All Johns Memorial employees will be attending this workshop. The congregation may also attend at $5 per session.

Old Business - Vestry assignments and reports:

Committee Reports:

Christian Formation: Having reviewed the Senior Warden’s proposed survey on changing Sunday service times, Rev. Bob Partlow suggested the Vestry bring in Carolyn Black, Diocesan Christian Formation director, to help train Sunday school teachers. He also suggested contacting Mr. Hlad to get an update on this committee’s progress.

Long-Range Planning: Mr. Mayton requested, in writing, for information from all the committees about their current status, future goals and objectives, as well as projected resources. This information will help the Long Range Planning committee in structuring their own long-term goals.

Parish Life/Outreach: Olan Mills will be taking pictures for the new Church Directory on Oct. 4 and Nov. 1. Ms. Gallagher stated that Mrs. Wilson would be calling members to remind them to schedule their pictures.

Stewardship & Finance: Mrs. McClellan stated that a quarter of all pledge cards have been returned. At this point, the pledges are up $100 from last year.

Worship: Mr. Butler proposed having a special Veterans Day service on November 11 in recognition of local veterans. A special coffee hour is scheduled for after the service.

Young Adults and Youth: The Vestry gave special recognition to the Campus Ministry committee for putting on the Campus Ministry Cook Out.

Communication and Administration: Semi-annual performance evaluations have been completed for the entire Church staff. Information about different church activities and programs need to be distributed more often. Rev. Ruth Partlow suggested having a condensed newsletter sent out every six weeks along with the Bell Tower.

Mrs. Lancaster motioned, seconded by Mrs. Southall, to give monetary bonuses to Dr. Chris Swanson and Ms. Peggy Hargrave for their outstanding service with the Church music program. The motion carried unanimously.

Rev. Bob Partlow provided a rough draft for the proposed Campus Ministry Endowment Policy. Mrs. Kemner motioned, seconded by Mrs. Lancaster, to approve the wording of the Endowment Policy. The motion carried. Rev. Partlow will look into getting this policy enacted.

Vestry Reports:

Search Committee update: The CDO form is in its final stage of completion. Once it is sent out to prospective clergy, the committee will meet to finalize the Parish profile and decide on interview questions. Mrs. Lancaster and Mrs. Gallagher volunteered to research a proposed salary package for the new Rector. Once approved by the Vestry, the search committee will use this information during the interview process.

Junior Warden Report: Mrs. Lancaster reported that major sections of the Parish and kitchen roofs are in need of repair. A new Parish roof would cost approximately $11,000. A new 3D shingle Parish roof would cost $12,120. A standing seam, metal kitchen roof would cost $2100. A copper kitchen roof would cost $3600. Mrs. Southall motioned, seconded by Ms. Gallagher, to have Mrs. Lancaster talk with Mr. Winthrop of Winthrop Architects and Assoc. about investing in new Parish roofs, and per his recommendation, get started on having them replaced. The motion carried.

The Vestry meeting will be held October 2 instead of October 9. The Partlows will be at a conference on October 9. 

The meeting adjourned at 8:15pm after Compline.
