Johns Memorial Episcopal Church

Vestry Minutes

April 14, 2009

Present: Mary Ann Archer, Rev. Chris Cunningham, Jeff Halliday, Mark Lenker, Molly McClellan, Sam Shield, Mike Utzinger

Absent: Margaret Lindsay (will be absent for 8 -10 weeks because of a required class conflict), Sarah Southall, Mary Meade Edwards, Jennifer Gallagher

The meeting and dinner (provided by Mary Ann Archer) began at 7:00 pm with prayer led by Rev. Chris Cunningham.

Topics of discussion:

*Holy Week

-Attendance was up at all services except for Maundy Thursday.

-All voiced appreciation for the many services offered during Holy Week. Father Chris was asked how he fared doing so much work; he responded that he felt busy but OK during and after the week.

-Mary Ann Archer voiced concerns that the Easter Vigil service was too long, with too many musical selections for the choir, resulting in the choir not sounding their best and members of the congregation feeling worn out by the service. Father Chris will meet with Mary Ann and Dr. Chris Swanson to discuss the length of service and workload for the choir/choirmaster.

*Dinner at (and time of) Vestry Meetings

-Several members said, that although it was nice to eat together, it was difficult for people with young children to be away from home at dinner time and to bring dinner to Vestry meetings.

-It was decided that we would dispense with one person bringing dinner to Vestry meetings and simply have everyone bring a bag lunch to the meetings.

-The time of future meetings will be 7:00 pm

* Qualification Statement

-All members present signed the qualification Statement s required by Canon Law

*Organ Fund

Peggy passed on her comment through a vestry member that perhaps we should start an organ fund for the repair and maintenance of our organ.

-Mary Ann Archer will look into this matter.

*Financial Statements

-Financial statements were reviewed and all agreed we are doing a good job of estimating income and expenses, and that the church is in pretty good shape financially.

-Money for the church foundation upkeep/repair will come from the ‘building fund’.

-The statement was accepted unanimously

*March Meeting Minutes

-were accepted unanimously

*Church Calendar

-College Sunday was mentioned as important and coming soon.

- At the up-coming confirmation service there will be 2 confirmands and 3 receptions.

*Number of Vestry Members

-After much discussion it was decided that we do not need or have jobs for 12 members right now, but that we will revisit this question in the future.

* Chad Krouse’s Letter of Recommendation for Candidacy

- was signed by all members present

*Retreat/In Service Day for Vestry

-June 13 was picked as the likely date

-Individual committees may want/need to meet before the Vestry In Service Day

-Location is TBA, but will be away from our own church and parish house.

*Stained Glass Window Repair and Maintenance

- The notebook with details on the 5-year, phased project is making the rounds of the Vestry members.

*Fall Worship/Christian Formation Schedule

-The proposed new Sunday morning schedule will begin in late August and will be:

8:00 am – Service(with some music, organist [with extra pay], ad-hoc choir)

9:15 am - ‘Coffee Light’

9:30 am – Sunday School (Adults and children)

10:30 am – Service (with full music and choir)

Coffee Hour following 10:30 Service

-Mike Utzinger was concerned that we may not find enough Sunday School teachers.

-Father Chris views the proposal as a growth strategy, allowing more people to worship at Johns and will write about the schedule in the next Bell Tower.

-Mary Ann Archer suggested that the proposal might feel less upsetting to people if it were viewed as a one-year trial.

*Members of Johns Seeking Ordination

- Graham Tate (H-SC student) is actively pursuing ordination and will preach on College Sunday.

- Marci Orr and Willie Smith are both looking to become Episcopal priests

-Taylor Butler is now a postulant for the diaconate.

The meeting was closed with Compline.
